How a conference runs
Every conference is different, but the work follows the same four steps.
- 01
The recce
Depending on the event and the size of the venue, we start with a site visit with every technical team involved, the venue's own included. Venues often bring their own crew for some of the work, so we agree who does what. The visit sizes the project and what it needs: TVs, screens and projection, microphones, internet access, and the decoration and scenography when they are part of the job.
- 02
The prep day
For larger events, we take a day just to set up the equipment and the infrastructure. The day usually starts at 6am, and 10-hour days are common. Some conferences have their speakers rehearse that day, so everything has to be ready for them. For a live stream, we test the connection one last time.
- 03
The event days
We film every talk with several cameras, stream it live and run the screens in the room: the presentations, the speaker notes for the person on stage and the audience feedback. Sound and lighting engineers look after the stage, for the room and for the cameras.
- 04
After the event
We deliver the talks as replays, so the people who could not be in the room can watch them too.
Who is on the crew
Up to 10 people for dotConferences. A conference crew brings together:
Video crew and project managers
The camera operators and the live production team, and the project managers who run the job with you and the venue.
Technical crew
They set up the decoration and the screens.
Sound engineers
The speakers' microphones, and the sound of the stream and the recordings.
Lighting engineers
The stage lighting, for the audience and for the cameras.
